Who we are

NoShowFixer is operated by Josh Finnie, an individual based in North Carolina. NoShowFixer sends appointment reminders for independent practitioners, like tutors, massage therapists, personal trainers and music teachers. Questions about this policy go to hello@noshowfixer.com.

This policy covers two groups of people: practitioners, who sign up and use NoShowFixer, and their clients, who receive reminders on a practitioner’s behalf.

What we collect from practitioners

  • Your email address, which is how you sign in.
  • Your business name and timezone.
  • The private iCal link to your calendar. We store it encrypted.
  • Your reminder settings, and, if you add them, a deposit link and your price per session.

What we read from your calendar

We regularly read the calendar you connect, looking at the next few months of events. From each event we use the title, the start and end time, guest email addresses, and any email address in the description. We use these only to find your appointments and to match each one to a client. We never change your calendar.

We store the appointments we find, the client names and email addresses we match or that you add, each client’s answer (confirmed or cancelled), and a record of the emails we sent.

What we collect about clients

Clients don’t create an account. We hold a client’s name and email address as they appear in the practitioner’s calendar, or as the practitioner enters them, along with the client’s answers to reminders and whether they have asked to stop receiving reminders. Practitioners confirm, when they sign up, that their clients have agreed to receive appointment reminders by email.

How we use it

  • To send appointment reminders and sign-in emails.
  • To show practitioners their schedule and who has confirmed or cancelled.
  • To tell a practitioner when a client cancels.
  • To stop emailing addresses that bounce, complain, or unsubscribe.

We don’t sell personal information, show ads, or use advertising or analytics trackers. The only cookie we set keeps practitioners signed in.

Who we share it with

We use a few service providers to run NoShowFixer, each only for its part of the work:

  • Netlify, which hosts the website.
  • Neon, which hosts the database, in the United States.
  • Amazon Web Services (Amazon SES), which delivers email.
  • Inngest, which schedules reminders and calendar checks.

We may also disclose information if the law requires it.

How long we keep it

We keep your information while your account is open. Email hello@noshowfixer.com to delete your account, and we will delete your account, calendar link, appointments and clients within 30 days. We keep a list of email addresses that bounced, complained or unsubscribed, so that we never email them again.

If you are a client

Every reminder has a link to stop reminder emails from that practitioner. To correct or remove your information, contact the practitioner who added you, or email hello@noshowfixer.com.

Security

Everything travels over encrypted connections. Calendar links are encrypted in storage. Sign-in links and the links in reminders are single-purpose and expire.

Children

NoShowFixer is for practitioners, not children. Practitioners who work with minors should put a parent’s or guardian’s email address on the appointment, not the child’s.

Changes

If we change this policy, we will update the date at the top. If a change is significant, we will email practitioners before it takes effect.
